Sales Operations Automation

Orders arrive from many channels.
If one breaks a rule, the agent stops.

How sales operations work

  1. 1

    Order entry

The order is taken from any channel, matched to the customer and product and entered in the ERP

    Output
    → ERP order record
  2. 2

    Validation

The price is checked against the contract, the open balance against the credit limit

    Output
→ An order released, or sent for approval
  3. 3

    Shipping and notification

Confirmation, shipping and delivery details go to the customer; incoming requests are handled

    Output
→ Confirmation and delivery date notice, delivery note and invoice, customer update
  4. 4

    Reporting

Channel and customer profitability is tracked; returns and cancellations are settled

    Output
    → Sales and channel report

Where it goes wrong today: Every channel has its own format and data is entered by hand. Orders over the price or limit are often noticed late. Customers have to call to find out where their order is. Here automation directly improves both delivery time and customer communication.

Multi-channel order entry

What it does

  1. RobotCollects email, PDF and portal orders and parses them with each channel's template

  2. RobotMatches customer, product and quantity to master data

  3. RobotRecords matches in the ERP in one format and attaches the document to the order

What it protects you from

Formats that change from channel to channel, and line errors missed in manual entry

The brake: where people decide

Multi-channel order entry

A customer or product does not match master data

The account representative resolves the mismatch; the robot records the corrected order

Price and credit limit check

The price breaks the contract or the limit is exceeded

The sales manager or finance approves or rejects the blocked order

Order confirmation and delivery notice

The customer objects or makes a special request

The account representative steps in on that order only

Customer request classification

A reply draft is ready

The representative edits the draft and sends the reply personally

Channel and profitability monitoring

The weekly deviation summary is ready

The sales manager reviews the summary and starts the action

Returns and cancellations

An eligibility suggestion is ready

The sales owner approves the return decision and amount

What you gain

  • Orders are entered at the same speed and quality whatever the channel.
  • Orders outside price or limit stop before they ship.
  • Customers are informed before they need to ask.
  • Request response times become measurable and traceable.
  • Discount and margin drift are caught within the period.
  • In busy periods the team spends its time on customers and exceptions instead of data entry.

We work out the gain at your volume together in the process review.

Frequently asked questions

Does the agent reply to customers on its own?

No. The agent classifies the request and drafts a reply; the representative edits and sends it. Routine confirmations and shipping notices go out from the robot using set templates.

Our orders arrive in a different format on each channel. Can they be read?

Yes. The robot uses a separate template for each channel. A customer or product it cannot match goes to the representative; the robot never fills it with a guess.

Does the robot release blocked orders?

The robot only releases orders that follow the rules. Orders over the price or limit go to the sales manager or finance for approval; the decision and its reason are recorded.

Do you need to change our ERP or marketplace accounts?

Robots work through your existing screens and portals; your ERP does not need to change. Connections are set up through Central Agent.
