Administrative Operations Automation

Small tasks, a heavy tracking load.
Before a payment or disposal, the agent stops.

How administration works

  1. 1

    Requests

Travel, accommodation and facility requests are received and logged

    Output
→ Approved travel plan, opened request
  2. 2

    Fleet and facilities

Vehicle dates and fines are tracked; facility work orders are assigned and closed

    Output
→ Vehicle assignment and maintenance record, facility work order and tracking
  3. 3

    Bills and subscriptions

Service bills are checked against contracts and consumption; contract renewals are tracked

    Output
→ Checked service bill, renewal recommendation note
  4. 4

    Archive

Retention periods are tracked and the disposal list is prepared and recorded

    Output
    → Retention and disposal record

Where it goes wrong today: Tracking runs in Excel and email. A missed vehicle inspection is noticed as a fine, and a silently renewed contract at payment time. The gain from automation is an end to forgotten renewals and needless payments.

Travel and accommodation arrangements

What it does

  1. RobotReads dates, route and budget from the request form and collects options from contracted agencies and platforms

  2. AgentRanks them by travel policy, budget and time lost

  3. RobotAfter approval the robot books and prepares the expense record

What it protects you from

Bookings outside the policy, and approvals scattered across email

The brake: where people decide

Travel and accommodation

Options are ranked against the policy

The manager approves the option and budget; the robot books nothing without approval

Vehicle and fleet tracking

A deadline is near or a new fine has arrived

The administration owner decides on the appointment and payment

Facility work order

The work order is ready to close

The facilities owner verifies the closure and the work done

Service bill check

The bill is outside the expected range

The administration owner reviews the bill and decides whether to dispute it; the robot drafts the dispute letter and tracks the reply

Contracts and renewals

The renewal window is open and the recommendation is ready

The administration manager decides to renew, change or cancel

Archive and disposal

The disposal list is ready

Legal and the unit owner approve the disposal list

Important: The contract agent's note is a recommendation. Renewal, cancellation and spending decisions rest with the administration manager; the agent never changes a contract itself. Disposal of documents containing personal data is recorded, and the audit trail is kept.

What you gain

  • No more late costs from inspections, insurance and fines.
  • Travel is arranged quickly and within policy.
  • You can see who holds each facility request and for how long.
  • Wrong service bills are caught before they are paid.
  • Silently renewing and unused subscriptions reach the table before renewal.
  • The team spends its time on supplier management and improvement instead of tracking dates and documents.

We work out the gain at your volume together in the process review.

Frequently asked questions

Does the agent renew or cancel contracts itself?

No. The agent compares the contract, usage and cost and prepares a reasoned recommendation before renewal. The decision to renew, change or cancel rests with the administration manager.

Does the robot pay traffic fines or service bills itself?

No. The robot finds the fine, matches it to the driver and passes valid bills to approval and accounting. The payment decision always rests with a person; bills that deviate go to the owner for dispute.

Our fleet and facility tracking is in Excel. Will it still work?

Yes. Robots work through your existing files, screens and portals; your ERP does not need to change. Connections are set up through Central Agent.

How do we prove a document's disposal in an audit?

The robot produces the disposal record and archives it with the approval trail. Documents under ongoing litigation or audit never enter the list; legal and the unit owner approve the disposal list.
