Foreign Trade and Logistics Automation

Each shipment is a document set.
On a mismatch, the agent stops.

How foreign trade works

  1. 1

    File opening

The export or import file is opened and documents are collected

    Output
    → An opened file
  2. 2

    Document check

Invoice, packing list, declaration and bank receipt are compared with each other

    Output
→ A checked document set, ERP entry
  3. 3

    Shipping and tracking

Container, arrival, delivery order and free time are tracked

    Output
→ Arrival notice and deadline alert
  4. 4

    Cost and compliance

Freight and charges are allocated to product cost; regulations and bonded warehouse periods are checked

    Output
→ Landed cost, declaration and closing file

Where it goes wrong today: Checks depend on one person. Errors usually surface at customs or at payment, when it is already too late. This is where document reading automation pays off most clearly.

Import file opening

What it does

  1. RobotDownloads documents from supplier and carrier emails, matches them to the order, asks the supplier for anything missing, opens the file and sends it to the customs broker as one package

What it protects you from

Files opened with missing documents, and paperwork reaching the broker piece by piece

The brake: where people decide

Export document check

A field does not match across documents

Corrects the mismatched field; the robot keeps the data it collected and resumes from the same step

Import file opening

A document is missing or contradictory

Steps in on that document only

Arrival and container tracking

A delay, or free time running out

Plans the delivery order and customs appointment

Freight and landed cost

A charge deviates from expectations or a document is missing

Approves the allocation and the exception

Regulatory pre-check

A risky item is found

Makes the final assessment and consults the broker if needed

Bonded stock tracking

A difference or time limit warning

Decides on the difference and the warning

Important: The output of the regulatory pre-check is for information only. Responsibility for the declaration stays with the taxpayer and the customs broker; the agent does not file declarations, it prepares a draft for them.

What you gain

  • Less waiting and lower penalty risk from mismatched documents at customs.
  • Document sets are checked by rule, not by person; work does not stop when the specialist is on leave.
  • Early warnings bring demurrage and storage costs down.
  • The cost of a file is visible before the shipment closes.
  • For every file, "who approved what" is already on record.
  • In busy periods the team spends its time on exceptions and analysis instead of overtime.

We work out the gain at your volume together in the process review.

What we have done in this department

Example project

A beverage manufacturer

They wanted a paperless setup in foreign trade. The condition was clear: projects that keep updating themselves, learn, carry no risk and are approved by people. We mapped the foreign trade flow and placed agents at the document check and file opening points. A three-way match demo, showing the agent stop and ask the specialist when documents did not match, decided the moment. The product and the process went live together.

Frequently asked questions

Does the agent file the customs declaration itself?

No. The agent reads and compares the documents and prepares a draft declaration. Responsibility for the declaration stays with the taxpayer and the customs broker; approval is always with a person.

Our documents arrive in different formats, as scanned PDFs. Can they be read?

Yes. Document reading is the most common use in this department. A field that cannot be read, or is read with low confidence, goes to the specialist; the robot never fills it with a guess.

Do you need to change our ERP or BILGE?

Robots work through your existing screens and portals; your ERP does not need to change. Connections are set up through Central Agent.

Where does our customs broker fit in this flow?

Your way of working with the broker stays the same. The robot sends the broker a complete package and waits for the declaration number; the broker deals with fewer missing documents.
